Chart a Path to Success

Did you know that you can create an action plan to meet your goals without knowing every detail? Any information you have on-hand will yield a roadmap to achieve a goal in the time available.

Let's say you've been asked to speak at a conference, something you've never done before. The conference takes place November 1-3.

Start by listing the high-level tasks that you know will be required to prepare for the conference:

  • Select a topic
  • Write and revise the presentation
  • Create handouts
  • Mail materials to meet deadline for inclusion in the conference program
  • Rehearse presentation
  • Attend conference

Next, pencil in tasks and anticipated timeframes on a simple chart, like the one below, to visualize your steps. Don't worry about the chart being perfect; just do your best with the information you have on-hand.

Now, list as many sub-tasks as you can think of for each major step. By drilling down, you flesh out the details needed to estimate the timeframe effectively.

For example, let's choose the first task, "Select a Topic," and drill down:

  •  –> Research past conference topics
  •  –> Ask the conference chair for input
  •  –> E-mail colleagues for current hot topics
  •  –> Review trade journal articles you've written to find your best material

Once you feel you have enough sub-tasks, identify relationships between them. Which tasks must be completed before others? What can happen concurrently? What can be delegated?

Based on the timing and relationships for each sub-task, refer to your chart to see if you've allowed enough time to complete the "Select a Topic" task. If so, that's great! If not, adjust your chart accordingly.

Continue for each task, one at a time, until your chart feels realistic. As you complete each task, re-evaluate and reprioritize the remaining tasks as needed to keep your timeline feasible. By visualizing at this level, you can see where you are going and what it will take to get there.
